In SOLABS QM, it is possible (by users having the role SOLABS Document Administrator) to create Document Types that will bring up default settings for the document attributes when a document of that Document Type is created. One of the attributes that can be set when creating a Document Type is the Effective Date attribute. It can either be:
- Selected or Not Selected: if not selected, there will be no Effective Date displayed on the document, but the document will be in an ‘Approved & Effective’ status by default once approved.
- If selected: the following settings are available to be configured:
These settings will establish the defaults for documents of that Document Type.
Through these settings, it is possible to customize, by Document Type, the period between when a document is Approved and when it becomes Effective. This can be useful when you want to allow a period of time to perform the training on an Approved document before it becomes Effective. The parameter Default Effective Date Delay (days) is the parameter that defines that period of time. The number of days defined in the Document Type for that parameter will then be available for selection when a document of that type is created. It must be selected when the document is at the Authoring status - it will not be selected by default.
If different periods are allowed for training depending on the type of document (Ex: 15 days for SOPs, 7 days for Forms, etc.), it is possible to set these independently for each Document Type. When the document gets approved, it will n go to an Approved, Not Effective status until the established number of days is reached.
Note that after the number of days set for that Effective Date Delay, the document will become Effective automatically even if the related training is not yet completed by all assignees.
It is NOT possible to define this period on a per document basis - it will apply to all documents of the same Document Type.
