The Lock File menu option can be used by a document author to prevent other users from modifying the file of a document while it is in the authoring process. When a document has its file locked, users can still modify the document's metadata, but it will be impossible to remove/upload a new file to replace the file itself.
How to lock a file:
Users who have the appropriate privilege level (Modify or Administer) can lock a file for a specific document by doing the following:
- Access the document's View page.
- Under the Document Actions menu, click on Lock File
Once confirmed, the Document File section on the View page for both the version at the Authoring status and the Effective version will display the locked status and the user who locked the file.
How to unlock a file:
Users who have the appropriate privilege level (Modify and or Administer) can unlock a file by doing the following:
Note: This can also be done by users other than the user who has locked the file in the first place
- Access the document's view page.
- Under the Document Actions menu, click on Unlock File.
Once confirmed the file will be unlocked and reverted to its original status.
