Issue / Symptoms
An administrator needs to modify the Name field and/or the Job Title field of an existing Function Role (FCT) in SOLABS QM10 and wants to understand what impact these changes will have across the system.
Cause
The Name field and the Job Title field are both required fields when a Function Role is created. While they can be modified after creation, each field serves a distinct purpose within the system and has different display behaviors when changed. Understanding these differences helps prevent unintended configuration gaps.
Resolution
❶ Modifying the Function Role Name Field
The Function Role Name is displayed in role selection lists used for task assignments, including:
- Document workflow tasks (e.g., review, approval, retire)
- Ad hoc and secondary tasks
When selecting a Function Role from these lists, an administrator can assign the task to a specific user holding that role, or to any user holding that role.
Impact of modifying the Name field:
When the Function Role Name is modified, the role is simply renamed. It remains assigned to all users who currently hold that role. As a result:
- The change has no impact at the task assignment level — existing assignments are preserved.
- The updated name is reflected immediately everywhere the role is currently used and assigned.
Example: If a secondary task is assigned to a role named FCT_Quality Associate and the Name is changed to FCT_QA Associate, the new name will appear in the task itself, and the assignment will remain unchanged.
❷ Modifying the Function Role Job Title Field
The Function Role Job Title is displayed in lists within the Training section of SOLABS QM10. These lists are used in two contexts:
- Linking a Training Activity to Job Title Profiles
- Filtering by Job Title Profile to manage Training Activity assignments
Impact of modifying the Job Title field:
⚠️ Important: When the Function Role Name is modified, the Job Title field is NOT automatically updated. If the intended change applies to both fields, the Job Title must be updated manually and separately.
As with the Name field, modifying the Job Title has no impact at the task assignment level. The updated Job Title will be reflected everywhere that Function Role appears within the Training section.
Additional Information
- Both the Name and Job Title fields can be modified independently in the Function Role configuration.
- Administrators should review both fields when renaming a Function Role to ensure consistency across task assignments and training configurations.
- No re-assignment of tasks or training activities is required following either modification, as existing links are preserved automatically.
