In SOLABS QM10, when Training Activities are created, the ability to view these activities is not related to any Privileges you need to set on these activities but is instead related to the Assignment type for the activity, the Completion Requirement set for the activity, and the Status of the activity itself.
Creating Training Activities can be done only by a user having the role of SOLABS Training Administrator. No one else will be able to do this.
◊ Users in the system can have various Assignment types related to a training activity as follows:
- Being assigned to Confirm a training activity as an End-user or as a Trainer
- Being assigned to provide a Second Confirmation as a Trainer
- Being assigned to provide a Second Confirmation as the Manager of assigned End-users
- Being assigned to provide a Second Confirmation as the Department Head of assigned End-users
- Being a SOLABS Training Administrator
◊ Training activities can also be set with different Completion Requirements:
- End user confirmation
- End user and second confirmation (with grade or not)
- When a Second Confirmation is required, it is possible to select the following options for who can provide that Second Confirmation:
- Training Administrator (always selected)
- Trainers
- Managers
- Department
- When a Second Confirmation is required, it is possible to select the following options for who can provide that Second Confirmation:
◊ Training activities can have the following Statuses:
- Not Started
- Active
- On Hold
- Closed
When a Training Activity is created with a Recurrence setting based on Document Revision, the Training Activities will be visible in the Related Items table of the curriculum document itself as Training Activities for this Document. They will be visible based on the previously defined parameters as follows:
- Users that are assigned to Confirm the Training Activity (as End-user or Trainer) will see the Training Activity listed in the Related Items table of the document only when the Status of the Training Activity is Active. If the status is Not Started, On Hold or Closed, they will not see the Training Activity listed in the Related Items table of the curriculum document.
- If the Completion Requirement is set with a Second Confirmation the following situations occur:
- If the Trainer option is selected, users set as a Trainer will see the Training Activity listed in the Related Items table of the document for any Status - Not Started, Active, On Hold, and Closed.
- If the Manager option is selected, users set as a Manager (in the User Account) of the assignees will see the Training Activity listed in the Related Items table of the document when the Status is either Not Started or Active but will NOT see it listed when the Status is either On Hold or Closed.
- If the Department Head option is selected, users set as a Department Head (in the User Account) of the assignees will see the Training Activity listed in the Related Items table of the document when the Status is either Not Started or Active but will NOT see it listed when the Status is On Hold or Closed.
- Users in the SOLABS Training Administrator role will see ALL the Training Activities listed in the Related Items table of the document no matter which completion requirement is set and no matter what status the Training Activity is at.
NOTE that the display of the Training Activities defined above also applies wherever a Training Activity is displayed in the Related Items section of an item accessed in the system. For example, when a document or a process is linked to a Training Activity, that Training Activity will appear in the Related Items table of that document or process (bi-directional link) and will be displayed based on the same rules.
Also, note that the display of the Training Activities on the Home Page and the Training Section views does not follow the same rules and will be discussed in a separate article.
