Your Training Compliance Status is a measure of the completion percentage of required training for the functions that you perform. These are formal training requirements and therefore your compliance against them is an important aspect of determining how well you have been trained to perform those functions.
Since functions are activities that people perform, those activities will usually require training in order to establish a person's ability to perform those functions. This is why in SOLABS QM10, Training Activities can be linked to Function Roles. Since you may do many types of things, you may have many Function Roles assigned to you, in order to ensure the related training is formally assigned and measured.
- Note that in SOLABS QM10, the terms Job Title, Job Profile, and Function Role are used interchangeably in different areas. Your Job Title helps communicate the types of duties you may have within your company but might not communicate all the functions you will perform, and therefore all the documented training you will need.
- You can have multiple Function Roles assigned to you. One will certainly be related to your Job Title, because this is also used as part of your electronic signature when formally signing off on things like document approvals or process tasks. Especially if you perform different functions than others who share your Job Title, you may need multiple Function Role assignments to identify and be formally assigned, the training requirements for each function.
Linking Training Activities to a Function Role is a way to establish a group of Training Activities required to successfully perform that function. Assigning Function Roles to SOLABS QM10 User Accounts establishes who will be performing those functions. When a user is assigned a Function Role, and is then assigned the Training Activities linked to it, they will then be required to complete all of those Training Activities in order to be considered "in compliance" with their training. This compliance is measured as a completion percentage of all Training Assignments linked to their Function Roles and can be found on the various Training Compliance Reports in the SharePoint Reports Portal.
Training Activities can also be assigned directly to users but this is usually done for training that is not considered mandatory for their current functional roles within the organization or for Ad Hoc training needs. Users can also self-assign Training Activities for additional knowledge. Completion of those Training Activities will show up on the Employee Training History Report for those users but not on any Training Compliance Reports.
So how does Training Compliance differ from Training History?
The SharePoint Reports Portal includes both Training History reports and various Training Compliance reports. How are they different?
- Training Compliance reports will show the completion percentage for the current training requirements for the current Function Roles a person is assigned. Therefore, it will show completion status against current versions of SOPs for example - but not all historical versions.
- Training History reports will show completion dates for all training ever completed - whether for a person's current functions or past functions, whether formally assigned as a requirement, whether assigned as additional ad-hoc training or whether self-assigned. It will therefore show all versions of any SOPs assigned over the years - not just the current version.
